The Whistler Mountaineer is operated by Rocky Mountaineer Vacations (RMV), based in Vancouver, British Columbia.

Booking terms and conditions for our Web online guests.

1. General Terms and Conditions

Please read the following information carefully, as the terms and conditions described herein constitute an agreement between you and those who provide the service. If you decide to travel with RMV and make payment on a tour, you thereby agree to accept the terms and conditions of this contract.

2. Prices and Exchange Rate

All prices quoted are in Canadian or US dollars, as selected. The exchange rate used in calculating the published U.S. prices has been determined by RMV based upon expected currency exchange rate movements. Prices and information are for the 2008 season and are subject to change without notice.

3. Canadian Goods and Services Tax (GST)

All prices are subject to GST, which will be charged upon confirmation of booking. Currently the rate is 5% for Canadian GST. Guests who are not residents of Canada may be eligible for a rebate of the GST paid on short-term accommodation if they are purchasing their rail package tour from outside Canada. Any GST rebate that a visitor to Canada may be entitled must be claimed from the Canada Customs and Revenue Agency by the guest. When non-resident guests purchase their rail tour while in Canada or purchase a rail trip only, RMV charges GST at the full 5% rate.

4. Rail-Only and Package Tour Inclusions

The following costs are not included unless otherwise specified: GST, gratuities, alcoholic beverages, meals, room service or other hotel incidentals, items of a personal nature and all other items not specified in the description of the applicable tour contained on this website. If one of our packages does not meet with your requirements, we will be pleased to customize your rail tour package. Contact our Vacation Consultants for details. Individual tour component pricing breakdowns are not available.

5. Possible Alterations

RMV reserves the right to cancel, modify or alter all or any part of its services when necessary or advisable. Should this occur, RMV agrees to provide the best alternative available. Every effort will be made to adhere to the specifics shown on this website; however, circumstances may necessitate alteration, including the occasional accommodation change from properties listed. Hence, all fares, schedules, itineraries, hours of arrival and departure, and special programs are subject to change without notice at any time.

6. Suppliers' Liabilities

RMV and Armstrong Hospitality Group act as an agent for and make arrangements with hotels, motorcoaches and other independent parties to provide you with non-rail travel services and accommodations. Although great care is taken to choose suppliers, we are unable to directly control them, and therefore we are not responsible for their acts or omissions. The travel services provided by these suppliers are subject to the conditions imposed by the suppliers, and their liability may be limited by their tariffs, conditions of carriage and international conventions and agreements. Certain suppliers may require a minimum number of participants in order to operate an activity.

7. Company Liability

RMV and AHG and their respective officers, directors, servants and agents are not responsible for any claim, loss, damage, cost liability or expense arising, direct or indirect, out of injury; accident or death; loss, damage or delay of luggage or other property; or delay, inconvenience, loss of enjoyment, upset, disappointment, distress or frustration, whether physical, mental or otherwise, relating to the provision of rail tour operations, travel services and accommodations.

8. Force Majeure

RMV and AHG will not be responsible for the performance of this agreement if prevented or delayed by acts of God, strikes, accidents, weather, traffic, airport conditions or other causes beyond their reasonable control from meeting its terms. Nor will they be responsible for any loss or damage relating to train cancellations or any other cancellations.

9. Passport/Visa/Health Regulations

Passports: If travelling from outside Canada (including from the U.S.A.) you will require a passport for entry into Canada and appropriate ID for all family members. RMV is not responsible for guests refused entry into Canada because of inadequate documentation. For further information regarding documentation, including visas required for entry into Canada, please contact Immigration Canada. Single parents or grandparents travelling with children must ensure proper documentation is obtained for entry into Canada.

Health Regulations: There are no vaccination requirements for international travellers visiting Canada.

10. Luggage Policy

All luggage or articles are accepted and transported for Whistler Mountaineer guests subject to Rocky Mountaineer Vacations’ luggage policy and the conditions therein.

Luggage Limitations
Guests travelling onboard the Whistler Mountaineer are limited to two suitcases per person - total luggage weight per person is not to exceed 30 kg (66 lb.). Please note that there is no storage room for carry on luggage, guests are required to store luggage under their seats. Hand luggage should include any important medications.

Other Tours: Certain tour products featured on this website may have baggage restrictions due to either accommodation style or transportation requirements. Please refer to the tour product policies section for full details.

Prohibited Items
Passengers are prohibited from carrying explosive, flammable, hazardous, illegal or radioactive materials, and RMV will not be liable for any luggage containing such materials. Please contact a RMV representative if you have any questions about the materials you intend to transport.

Specialty Items
Specialty items, including bicycles, skis, golf clubs, wheelchairs, walkers and strollers will be permitted on a space availability basis only and such items are subject to RMV’s minimum liability policy.

Luggage Identification
RMV recommends that each piece of luggage have an identification tag attached to it, which includes a return address and telephone number.

Pets
Please note that all pets or animals (excluding guide dogs) are prohibited from travelling onboard the Whistler Mountaineer.

RMV Liability
RMV liability is restricted to personal luggage consisting of wearing apparel, toilet articles or similar effects for personal use and comfort as well as articles other than personal luggage that may be checked and handled in accordance with RMV’s luggage policy. Liability does not apply to carry-on luggage, items transported for or belonging to other persons, or items intended for sale. RMV is not liable for damage resulting from overpacking or non-structural damage considered normal wear and tear, such as scratches, scuffs and nicks.

Valuables
Money, jewellery, negotiable papers, cameras, watches, video and electrical equipment, laptop or handheld computers and accessories and radios enclosed in luggage are checked at the owner’s risk and are subject to RMV’s liability policy. RMV is not responsible for the loss of any items listed above. RMV is not responsible for any damage caused to these articles or by these articles. RMV is also not responsible for any damage caused to or by fragile articles, liquids or perishable articles.

Maximum Liability
Maximum liability for loss or damage to personal checked baggage and specialty items is limited to a maximum of $500 CDN per piece of checked baggage. RMV may not cover full replacement cost of misdirected or damaged luggage and contents.

Please report missing or damaged items immediately to the Station Manager at your arrival station or by telephone to 1-800-665-7245 within 24 hours. Lost or damaged luggage claims must be remitted within 30 days of travel.

11. Reservation Policies

Payment Policy
Full and final payment must be received at time of booking. Travel agents please note: American Express, MasterCard, VISA, JCB and Diners Club are acceptable forms of payment.

Refund Policy
Requests for refunds must be directed in writing to your travel agent or RMV. No refunds will be made because of airline delays, unused services or other acts beyond the control of RMV.

Cancellation Policy
If you cancel a confirmed reservation, notification from you or your travel agent must be received by telephone in RMV’s office. A written notification must follow immediately by fax to (604) 606-7250 or by e-mail to reservation@whistlermountaineer.com.

13. Insurance

We strongly recommend that you purchase travel insurance for your holiday. Please contact us at 1-888-687-7245.

14. Credit Card Bookings

For payment by credit card, please have the following information available:
  • Name as on credit card
  • Address of the credit card owner
  • Type of credit card
  • Full credit card number
  • Expiry date
  • CVV2 number from back of card
  • (For travel agents) Written authorization (UCC form) of your client to use his/her credit card
  • Telephone number of the cardholder

The authorization (written or verbal) to use a credit card number indicates your client’s compliance with our booking terms and conditions, whether or not you or they have signed the appropriate draft.

Credit card payments will be processed in Canadian or U.S. funds.

15. Itinerary Changes and Reduction of Services

Should you need to make a change to the itinerary once the original booking has been confirmed, please contact our Vacation Consultants (contact information under section 12). Per booking change fees to the following scale, will apply.

A change fee will not be administered for an addition or upgrade of service. For a change in train departure date, refer to our cancellation policies. Changes that increase the value of the booking are exempt from these fees. If there are any charges incurred by RMV as a result of changes made, they will be applied to the booking in addition to the change fee. Change fees are subject to GST.

16. Documentation

Your confirmation and travel itinerary are available at time of booking through the Web Online Booking System. You are required to travel with a printed copy of your itinerary and confirmation for verification of travel services purchased.

17. Rail Connections

Please be ready at the location and time stated in your itinerary to ensure your luggage is checked and your travel documents are in order. We recommend that you not make onward travel arrangements the night of arrival at your destination. Train travel in Canada is subject to unforeseen delays, and departure and arrival times cannot be guaranteed. RMV will not be responsible for missed connections.

18. Fuel Surcharge

Due to oil prices hitting an all-time high, Rocky Mountaineer Vacations has implemented a fuel surcharge on all Whistler Mountaineer bookings made on or after May 15, 2008. For bookings prior to May 15, 2008, the fuel surcharge will be waived.

The fuel surcharge is $5 per person, per direction on the Whistler Mountaineer.

19. BC Residents Special Offer

Terms & Conditions: Limited time offer open to BC Residents only. Proof of residency is required at time of boarding to ensure validity. Offer valid on new, round-trip bookings only from April 7 to May 31, 2008, subject to availability. Travel between April 23 and October 19, 2008. Rate of $125 round-trip is per adult in Whistler Mountaineer Coast Classic experience. Glacier Dome experience is also available at a reduced rate of $225 round-trip. Full payment is required at the time of booking and applicable taxes will be added at the time of purchase. Limit of 8 adult tickets per household. Not available in conjunction with any other offer. Non-refundable. Offers are based on availability and may be modified, withdrawn or travel dates may be substituted without notice. Other conditions apply.
